Event Activities
Security
May competitively bid services. Main function is to set security guidelines, train security personnel and verify that they are performing their job correctly at the event.
Communications
Pickup radios, monitor who has them, get people new ones as needed, change batteries, get all radios returned. Return radios to rental company. Can be combined with Security.
Traffic control (needs at least 2 more people on team – depends on site)
Direct all wayward motorists and help coordinate entry/exit of vehicles for the event set up.
Site and permits
Creates site diagram and coordinates and applies for all city permits. Provides site copies and provides overall site set up direction on the day of the event.
Poster development and printing
Creates the art, directs the layout, takes it to printer (may competitively bid printing services)
Poster distribution
Gets posters pout to all local breweries and seeks other business establishments to post the poster for the benefit of the charity
Banner sign deployment and return
Puts out all banners owner by SDPAC and recovers these just prior to event closure to avoid theft
Front gate ticket sales with at least 6 people in support
Must set up the sales procedure, supervise cash collection and assist with cash pick up
Ticket pre-sales
Create a pre-sales methodology and implement at minimum cost. Be available to organize and facilitate the ticket sales process. Coordinate with ticket supplier in advance of the event.
Cash collection
Responsible for obtaining an armored car pick up and coordinating cash pick up with front gate ticket sales lead.
Information/assistance/medical
Runs and information booth at the event alongside medical assistance to answer any event questions or get help
Glassware
Organizes and controls the distribution of glassware at the event. Ensures no duplicates, controls flow.
Rentals
Competitively bids, organizes and provides coordination for all rentals. Includes being on site day of the event with all contact numbers to facilitate any problems
Sound / staging / entertainment
May assist in selecting entertainment. Coordinates all entertainment support needs, sound and staging.
Food vendors
Recruit and select food vendors. Coordinates with site vendor on permits, controls and assists vendors during set up – oversees and troubleshoots problems during the event.
Wine
Buys wine for serving. Coordinates serving team and booth at the event. Coordinates with cash collection person.
Merchandise vendors
Recruits and organizes merchandise vendors. Provides assistance at set up and oversees and troubleshoots problems during the event
Breweries
Recruits breweries and provides all the before event coordination with breweries. May do all after event thank you activity or may be coordinated with Thank you contact.
Brewery check in
Checks in directs set up and briefs brewers on event rules
Sponsorship check in coordination
Oversees the Sponsorship check in list to ensure proper treatment and rights to enter. May provide coordination with PR and media person for some special guests
Sponsorship area
Obtains donations for and oversees and troubleshoots VIP area at the event. Thanks donors of supplies or coordinates with thank you coordinator.
Volunteer check in
Ensures proper identification and education of the process of volunteering including tasks to be performed, ensuring they get ABC training, informing them of the food or other rewards process, validating and ensuring they understand table assignments and that they will be check on for serving rules.
Volunteer recruiting (Chair and co-chairs)
Recruits 300 volunteers (150 per shift) to support the event activities
Volunteer support (food info etc)
Provides go between to volunteers their food, ticket sales needs etc.
Serving size police
Dedicated individuals to verify correct serving mark off/ticket collection and proper container usage and getting event staff or security if a problem arises
No smoking police
Dedicated individuals to spread the no smoking message, request smoking items be put out and getting event staff or security if a problem arises
Site clean up
Coordinate with Paradise in progress, our volunteers and security volunteers verify site is left clean and SDPAC articles picked up.
Social and Acknowledgment Activities
Meeting hosting
Create a meeting schedule suggest and coordinate meeting places or menus, send out reminders and collect RSVP data
Social Event Chair
Create ideas for and organize social events for SDPAC Volunteers. Events can be hosted by a donating site or paid for by volunteers. Idea is to build camaraderie and have fun!
Thank you’s
Distribute thank you’s to all donors and participants
Hospitality (discounts for brewers on hotels etc)
Finds discounts and freebies for event participants and volunteers. May assist in getting reward items for volunteers
Donation Activities
Sponsorship package writer
Updates, or creates sponsorship packages to detail the philanthropic activities of the SDPAC. Works closely with PR and print media person. May be involved in distribution of the materials and presentations.
Donation lead (& team of 3 to recommend to board donation opportunities)
Researches donation options for our criteria of directed donations that go to specific support items in cancer research, treatment or patient services.
PR, Printing and Electronic Media Activities
PR
Finds media sponsors and coordinates all activities. Coordinates all advance tickets etc with sponsor and follows up on all marketing opportunities promised by sponsor. Gets on-air time for interviews. Includes television, radio and print media. PSA distribution to all local media.
Print Media coordination
SPDAC prepares several items: save the date cards, event posters, palm cards, pizza box top flyers, tickets, event programs, sponsorship banners, Reader or other advertisements, and glassware printing. All of this needs to be designed and checked with the board and vendors.
Web Sites
Update at least monthly throughout the year. Keep updated with all event and ticket info. There are two web sites that SDPAC maintains, an SDPAC web site, and the beer festival event web site.
SDPAC website: www.sdpac.org
The SDPAC web site is not updated or visited as frequently as the event web site and contains information about the SDPAC organization, goals and achievements.
SDFOB website: www.sdbeerfest.org
The beer festival event web site is continually updated as more information about the event crystallizes and also serves as a portal to promote the event and breweries, get volunteers and brewers, thank contributors and sponsors, provide information about tickets and hotels, and display those all-important event photos.
The SDPAC domain also accepts email, most of which is simply routed to SDPAC members' personal accounts hosted elsewhere, though a few accounts are actually served by and stored on the same computer that hosts the websites. This allows SDPAC primary volunteers to have a prestigious and official-looking “@sdpac.org” email address.
Newsletter / mailing list
Maintain the mailing list and publish periodic electronic editions. SDPAC is fortunate enough to have the sponsorship of
CoolerEmail for the purposes of maintaining volunteer rosters and event contact lists, as well as event advertising. This position works with the web site volunteer and board members to ensure the maximum use of this sponsorhsip resource for the continued improvement of the event production process for all.
Internet event posting
Logs on to as many web sites as possible to post our event; maintains a list of all postings (for future use); validates posting are actually incorporated.
